Administrative Assistant for High End Residential Interior Design Firm

ABD STUDIO Administrative Assistant (Full Time Position) ABD STUDIO is a high- end interior design firm located in San Francisco specializing in residential & boutique hospitality interior design and architecture. POSITION SUMMARY The Administrative Assistant is responsible for assisting the ABD STUDIO team with administrative duties and specifically supporting the ABD STUDIO Principal supportive miscellaneous tasks. High quality customer service is a priority as the Administrative Assistant will be the first point of contact for all visitors to the design studio. DUTIES AND RESPONSIBILITIES (include but are not limited to): ● Answer the phone, greet guests, distribute delivery of mail ● Order office supplies as need - Office Coordinator to monitor what supplies are needed continuously ● Order office snacks as needed - Office Coordinator to monitor when snack restocking is necessary and specific request from team ● File, tag and upload office expense receipts ● Pay office expense bills; save receipts as necessary ● Setup trade vendor accounts ● Draft emails for Principal when appropriate ● Maintain calendar for Principal specific appointments ● Maintain calendar for all Client / project related appointments ● Confirm all calendar appointments 24 hours in advance with attendees ● Enter new contacts into CRM database ● Coordinate travel details for Designer shopping trips and site visits ● Request samples as needed for specific design projects and for design library ● Organize ● Coordinate messengers service for pick ups and deliveries within SF as necessary ● Schedule vendor presentations ● Coordinate and purchase birthday, thank you and holiday gifts ● Coordinate logistics for office outings ● Assist Principal with lead tracking ● Assist Principal with Press / Marketing efforts ● Attend weekly team meetings ● Assist with maintaining a tidy overall office space; file project related samples into project sleeves as needed, empty waste baskets, general cleaning and tidying specifically to prep for Client visits ● Listen to office voicemail on a daily basis; return calls and relay messages to the Principal the design team as needed ● Monitor site visit bag and installation kit; Work with Administrative Assistant to replenish as needed ● Setup conference room with refreshments for all Client meetings ● Open and inspect any Client deliveries sent to the office, label and organize boxes within the office SKILLS AND ABILITIES ● Exceptionally organized ● Excellent creative problem solving and time management skills ● Ability to work in a fast paced environment ● Exquisite customer service skills ● Clear and concise communication skills, both verbal and written ● Ability to interact with management, and peers in a professional and supportive manner ● Reliable, self-driven, responsible, and independent as well as team-oriented ● Able to take direction and constructive feedback ● Enthusiastic, resourceful and dependable ● Flexible and eager to learn and implement systems QUALIFICATIONS ● At least 5 years working with small to medium sized office in an Administrative role ● Interior Design industry experience is helpful, but not necessary ● Proficient with GSuite
