Role Description The Administrative Assistant will provide day-to-day administrative and operational support to the interior design team, ensuring smooth studio operations and excellent client service. This full-time, hybrid role is based in Ross, CA, with a mix of in-studio work and some work from home. Responsibilities include managing phone calls and emails, scheduling appointments and meetings, maintaining calendars, and organizing client files and project documentation. The role also involves preparing basic correspondence and invoices, tracking orders and deliveries, updating spreadsheets and databases, and coordinating with vendors and clients. The Administrative Assistant will assist with clerical tasks such as data entry, filing, document preparation, and maintaining an orderly office environment, while supporting executive-level administrative needs for the principal designer as required.

Qualifications

Candidates should possess strong Administrative Assistance and Clerical Skills, including scheduling, filing, data entry, and general office coordination.Candidates should possess professional Phone Etiquette and clear Communication skills for interacting with clients, vendors, and team members.Candidates should possess Executive Administrative Assistance capabilities, such as calendar management, meeting coordination, and support for the principal designer.Candidates should possess proficiency with office software (e.g., email, word processing, spreadsheets) and the ability to learn project management or design-related tools.Relevant skills and qualifications include strong attention to detail, reliability, discretion with sensitive information, and a customer-service mindset.Ability to work on-site in Ross, CA in a hybrid capacity, manage multiple tasks, and adapt in a fast-paced, creative environment.Previous experience in an administrative or office support role; experience in design, architecture, or a creative field is a plus.
