INTERIOR DESIGN ADMINISTRATIVE ASSISTANT

ABOUT THE ROLE
Semmelmann Interiors is seeking a driven, highly organized, numbers-focused Interior Design Administrative Assistant to support our Lead Interior Designers and keep luxury residential projects organized, accurate, and on schedule.
This is a fast-paced role for someone who takes ownership, follows through, catches details, solves problems, and gets things done.
You will manage the administrative and execution details behind multiple design projects, including pricing furniture portfolios, preparing proposals, tracking schedules and deadlines, maintaining project documentation, communicating with vendors, verifying specifications and pricing, supporting client presentations, and coordinating installation readiness.
You must be comfortable working with numbers, managing multiple priorities, picking up the phone to get answers, and following an assignment through to completion.
If something is missing, you find it. If a vendor owes us an answer, you call. If the numbers don't match, you catch it. If a deadline is approaching, you are already ahead of it.
KEY RESPONSIBILITIES
PROJECT ADMINISTRATION & SCHEDULING
· Support Lead Interior Designers across multiple luxury residential projects.
· Maintain project schedules, deadlines, action items, selections, and outstanding decisions.
· Track what is due, missing, late, or requires immediate attention.
· Maintain accurate project information within Houzz and company systems.
· Organize project files, specifications, selections, notes, samples, and documentation.
· Prepare meeting notes, follow-up lists, schedules, and project documentation.
· Follow up on assignments and outstanding items through completion.
· Anticipate next steps and communicate potential delays or issues early.
· Keep designers informed of priorities, deadlines, and outstanding decisions.
PRICING, NUMBERS & PROPOSALS
Strong numerical ability and exceptional accuracy are critical to this position.
· Price furniture portfolios and project selections.
· Request and verify vendor and trade pricing.
· Prepare client proposals and specifications.
· Verify quantities, dimensions, pricing, markups, totals, freight, shipping, and lead times.
· Track budgets, allowances, and cost comparisons.
· Identify pricing discrepancies or missing information before proposals are presented.
· Maintain accurate pricing and specification information throughout each project.
· Work confidently with spreadsheets, calculations, proposals, schedules, and detail-heavy.
VENDOR & TRADE COMMUNICATION
· Communicate directly with vendors, manufacturers, builders, installers, and trade partners.
· Call vendors to obtain missing information and resolve outstanding questions.
· Obtain pricing, samples, specifications, lead times, availability, and required documentation.
· Track vendor commitments and follow up until answers are received.
· Confirm information and document changes accurately.
· Escalate delays, discontinued products, pricing issues, or potential problems quickly.
DESIGN & TECHNICAL SUPPORT
· Assist designers with furniture, lighting, textiles, wallcoverings, finishes, accessories, and fabrics.
· Research products, manufacturers, materials, pricing, availability, and lead times.
· Prepare client presentations, lookbooks, finish schedules, and design documentation.
· Able to read floor plans, elevations, lighting plans, reflected ceiling plans, and construction details
· Coordinate redlines, revisions, specifications, and selections.
· Assist with field measurements and site documentation.
· Maintain organized samples, finishes, and presentation materials.
CLIENT, TEAM & INSTALLATION SUPPORT
· Prepare designers for client meetings with accurate pricing, selections, samples, presentations.
· Document decisions and turn them into clear action items.
· Participate professionally in client and project meetings as needed.
· Coordinate information between the design team, vendors, builders, installers & other trades.
· Assist with installation schedules and preparation.
· Verify that selections, quantities, drawings, documentation, materials are ready before installation.
· Identify potential problems before they impact a deadline or installation.
WHAT WE'RE LOOKING FOR
· 2–5 years of professional interior design, design administration, procurement.
· Professional experience within residential design and/or construction.
· Knowledge in AutoCAD.
· Strong Excel/spreadsheet skills.
· Strong numerical ability and experience with pricing, calculations, and proposals.
· Exceptional attention to detail.
· Strong organization and time-management skills.
· Ability to manage multiple projects, priorities, and deadlines simultaneously.
· Confident written and verbal communication skills.
· Comfortable calling vendors, builders, and trade partners directly.
· Ability to identify problems and take action.
· Strong follow-through without requiring constant supervision.
· Luxury residential and custom-home experience preferred.
· Experience with Houzz or other design/project software preferred.
· Procurement, specifications, purchasing, or order administration experience preferred.
COMPENSATION
$52,000–$58,000, based on experience, procurement knowledge, design capability, technical skills, and demonstrated ability to manage details and execution.
