Interior Design Studio Marketing & Operations Assistant

Bleu Grace Designs Kansas City, Missouri

Job Summary

We are seeking a visually driven, execution-focused Administrative Assistant with a Marketing & Business Operations focus. This role is designed for a detail-oriented professional with an entrepreneurial spirit and a strong passion for the business side of Interior Design. This individual is a true administrative professional at their core.

We are looking for someone who wants to plant roots on the operational side of a creative company. Your primary mission will be twofold: elevating our brand visibility by turning our stunning design projects into compelling content, and managing the critical daily business systems that support our growth. If your true professional satisfaction comes from mastering spreadsheets, managing budgets, and executing workflows and you are a social media storyteller who brings a "creative approach" to problem-solving, this role is built for you. You will partner closely with the Lead Designer to drive our public-facing marketing strategy and manage complex project logistics.

Please note that this role focuses entirely on brand management, business administration, and marketing rather than hands-on interior design.

Key Responsibilities & Duties

Marketing Execution & Brand Visibility (Initial Focus 2 months commission agreement)

Content Creation & Storytelling: Design visually appealing marketing templates (Canva, etc.), write engaging copy for blog posts or monthly newsletters, and develop short-form video content using existing project assets to showcase our portfolio.
Digital Presence & Strategy: Plan, design, and schedule highly visual feeds across Instagram, Pinterest, TikTok, and other platforms to highlight completed projects, behind-the-scenes work, and design inspiration.
Website, Portfolios & Assets: Keep the website portfolio updated with high-quality imagery, client testimonials, and SEO-friendly descriptions; assist with the coordination of professional photography upon project finalization.
Campaign & Brand Consistency: Execute and track digital marketing campaigns and strategic outreach plans, ensuring all external communication reflects our unique luxury brand voice and visual standards.
Market Research: Conduct occasional research related to interior design trends and market conditions to identify new growth opportunities.

Business Administration & Operations

Financial Management: Build, format, and track client proposals, project budgets, and procurement invoices with excellent precision, care, and mathematical accuracy.
Calendar & Scheduling: Manage executive and company calendars, schedule key meetings, and coordinate internal and external appointments.
Inbox & Communication Control: Screen emails, manage everyday inquiries, route messages appropriately, and handle professional correspondence.
Process, Systems & Data Care: Maintain and implement digital filing systems, update CRM/client databases, and protect internal workflows to optimize how our boutique business operates.
Office & Library Maintenance: Assist with daily office organization and upkeep, including the meticulous management and organization of our textiles and finishes library.

Client Onboarding & Project Logistics

Inquiry Phase Management: Warmly manage and coordinate the client's initial inquiry phase, pre-screening prospective leads based on budget and scope, and funneling them efficiently to the Lead Designer.
Communication Hub: Coordinate and manage standardized email templates; act as a central point of contact between the Lead Designer, clients, contractors, builders, and vendors to gather design preferences or project requirements.
Documentation & Procurement Support: Draft and format critical project documents including Letters of Agreement, Statements of Work, financial proposals, quotes, client presentations, project schedules, and checklists.
Design Specifications Research: Assist the Lead Designer in researching product specifications, including material dimensions, fabric finishes, availability, and lead times.
Pricing & Order Tracking: Oversee product specifications and assist in calculating appropriate pricing for business profit; manage the procurement lifecycle by tracing order timelines, coordinating freight/deliveries, resolving discrepancies, and assisting with physical item transport or installation logistics as needed.

Qualifications & SkillsExperience & Core Focus

Professional Experience: A minimum of 3+ years of experience as an Administrative Assistant, Operations Coordinator, or within the business side of the Interior Design field.
Operations First: Strong foundational understanding of entrepreneurship, business administration, office management, and financial spreadsheets.
Marketing Acumen: Proven experience managing and growing professional digital channels with an eye for composition, luxury aesthetics, and cohesive branding.
Business Mindset: A genuine affinity for the interior design industry, with a clear career preference for business strategy, administration, and operations over spatial design work.

Technical & Practical Skills

Tech Savvy (Required): High proficiency in spreadsheet software (Excel/Google Sheets), standard office tools (Google Workspace or Microsoft 365), and project management software (such as Asana, ClickUp, Ivy, or Houzz Pro).
Creative Tech (Preferred): Proficiency with marketing and presentation tools like Canva, Mailchimp, or the Adobe Creative Suite (Photoshop/Illustrator).
Design Tech (Preferred / Familiarity Only): Familiarity with industry-specific design software (such as AutoCAD, Chief Architect, Revit, Bluebeam, or Rhinoceros 3D) is a plus to help navigate project files, though you will not be designing in them.
Physical Capability: Ability to help with transporting items through the procurement and installation phases as needed, which may occasionally require heavy lifting.

Personality & Behavioral Traits

Organization & Time-Management: Exceptional time-management skills with a sharp eye for proofreading and detail; you thrive when independently managing multiple projects and moving pieces simultaneously.
Communication: Exceptional written and verbal communication skills with the natural ability to present ideas clearly, persuasively, and professionally.
Problem Solver: A self-starter attitude with strong analytical and creative problem-solving skills; able to prioritize tasks under a fluid, flexible schedule.
Leadership & Teamwork: Strong natural leadership skills paired with a positive attitude, emotional intelligence, and the collaborative spirit of a true team player.
Education (Preferred): An Associate's degree or higher in Business Administration, Interior Design, or a related field.
