office and procurement coordinator

This high-performing interior design firm offers a pleasant working environment with a competitive compensation package for the right candidate. This position will work in the office and enjoy a Monday – Thursday, 10am to 4pm schedule. Responsibilities Include: Administrative Affairs • Manage Filing and computer directory systems • Answer phones and manage phone system • Office scheduling • Office supplies • Manage subscriptions and affiliations • Project Tracking and Data Entry • General office admin • Client Services • Manage CEO schedule and travel arrangements • Assist CEO with Marketing and PR • General CEO and office assist Expediting and Installation • Manage all purchasing and goods procurement for interior design projects • Coordinate all product deliveries • Coordinate with storage warehouse as needed • Coordinate shipping, deliveries and installations • Enter all scheduling information in project tracking software • Enter and manage all vendor information • Weekly status reporting • Coordinate with bookkeeper regarding vendor payments as needed • Liaise with vendors to ensure they are providing goods and services as needed Requirements Include: • 2 years of product procurement experience • At least 2 years of office management in an office of at least 5 people • Undergraduate degree in Business Administration or similar discipline • Experience in design showroom, products or design industry procurement preferred • Interior Design vendor knowledge a must • Must live within 30 minutes of Roslyn, NY and have reliable transportation • Must have long term career potential • Must be highly motivated, mature, have a high level of emotional intelligence and driven to excel • Must be tech savvy and proficient in Mac or PC Office suite software Character Strengths: • Professional, elegant, and polished phone presence • Gifted at building and maintaining professional relationships • Expert grammar and spelling skills • Highly organized, process and detail oriented • Must have a track record of precision in your work • Must be technically savvy • Old school work ethic • Extremely skilled at coordinating interdependent processes and timing • Gifted in multi-tasking in a fast paced environment • Must be effectual at coordinating and communicating with vendors and team members Qualified applicants, please email resume with a cover letter and salary history.
