ADMINISTRATIVE RESPONSIBILITIES • Oversee operations of the office including accounting, administration & expediting • Support management and staff • Answer phones • Track time • Pick up and deliver incoming mail • Send packages as required • Process emails for role and for manager as required ACCOUNTING & EXPEDITING • Log bills for payment in software system • Pay bills • Request vendor pricing as required • Prepare proposals as required • Log order acknowledgements in software system and check for accuracy • Process purchase orders and payments • Follow-up on orders and update software • Arrange for shipments and deliveries • Resolve damaged goods with insurance or shipper • Create client invoices • Send invoice reminders and ensure client payments are received on time • Prepare and deliver deposits to bank • Send financial information to CPA for tax preparation • Manage inventory, order and store office supplies • Manage CRM database – all contacts, vendors and suppliers •Employee documentation and employee manual • Prepare reports for review by management: • Work in Process • Accounts Payable • Accounts Receivable • Cash Flow Projections • Productivity Analysis • Time Billing Reports . May need to lift up to 50 lbs and move furniture or other items within the showroom SKILLS & REQUIREMENTS • Assist with strategic planning and budgeting • Proficiency in software related to role • Microsoft Office • QuickBooks, Studio Designer • Google – Calendar and Gmail (or other software) • Oral and written communication skills • Fits the culture, ethics and dress code of the company • Problem-solving skills • Project management skills • Proactive • Thorough & accurate • Thinks like an owner • Willing to interact with clients to address and resolve problems • Organizational skills • Attention to detail • Strong project management skills • Can handle fast-paced work environment without getting overwhelmed • Presentation skills and attention to detail • Maintains confidentiality • Excellent client service skills • Team player EDUCATION • Bachelor’s degree in business (accounting or finance preferred) or equivalent • 2-5 years experience • Computer and software proficiency Job Type: Full-time
