Office Manager/Admin

Stemach Design + Architecture is a well-regarded, creative architecture and design firm responsible for some of Bend’s most recognizable restaurants and retailers, in addition to extensive medical, civic, and non-profit organization projects. We are searching for a highly qualified office manager to join our team of dedicated, innovative designers and architects. Primary duties include but are not limited to: Accounting Support - 70% Bookkeeping, invoicing, monthly banking reconciliation Receive and process invoices from various consulting teams; receive and process client payments Maintain staff timesheets for data input for billing purposes Maintain various metric reports pertaining to AP/AR and active projects Vendor maintenance, W-9’s, and annual 1099s Office Management- 20% Provide exceptional administrative support: anticipate needs, prepare correspondence, organize file structure, and contribute to team-building initiatives Operate as the office receptionist: receive visitors, answer phone calls, and direct clients as appropriate Assist Interior Designer with material library maintenance and our catalog of material vendors Support Principals with miscellaneous tasks Marketing & Project Support - 10% Use word processing software and Adobe Creative Suite to assist with proposal preparation and other marketing outreach Monitor public bid notifications Maintain and update the firm’s website Coordinate various aspects of project closeout including photographs and project archiving Maintain marketing archives including brochures, catalogs, and project descriptions Job Requirements 3+ years of demonstrable office management or administrative experience; preference given to candidates holding a higher education degree in accounting, business, and/or marketing Clear, concise verbal and written communication skills Proficiency with Quickbooks is required Proven experience with spreadsheet software (MS Excel, Apple Numbers, Google Sheets, etc) Occasional lifting, up to 25 lbs Ability to work in-office at a desk (standing and/or sitting) for up to 8 hrs per day The Ideal Candidate has… An interest in the architecture and construction industry, and/or willingness to learn Strong computer skills; the ability to quickly learn and adapt to new programs The ability to manage time and responsibilities with little supervision A data-oriented mindset with strong attention to detail A fun-loving and creative personality; willingness to take initiative Experience with Apple’s office products and MacOS (preferred but not required) Experience with Adobe Creative Suite (preferred but not required) Experience with HTML and CSS (preferred but not required) Job Type: Part to Full Time Benefits competitive pay: $23.00 - $28.00/hr depending on experience 100% premium-paid Health/Dental/Vision insurance * Paid vacation time * Paid sick leave Flexible schedule, including work-from- home options Retirement plan Access to our custom-built Sprinter camper-van ** If you think you are the right fit for our team please respond with your cover letter and resume as an attachment to an introductory email.
