We are seeking an experienced Project Manager to support and drive the successful execution of complex residential projects from design development through installation and closeout.
This role is best suited for someone who is structured, proactive, and unflappable - a strong operator who brings clarity, follow-through, and momentum to projects and teams.
The Role
The Project Manager is responsible for overseeing schedules, documentation, coordination, and execution across multiple residential projects. This is a client-facing role that requires clear, confident and efficient communication with private clients, contractors, vendors, and internal team members.
In addition to project oversight, this role includes hands-on architectural production responsibilities, including construction documentation coordination and finish sourcing, in close collaboration with the design team and Principal. The PM is expected to be embedded in the project deeply, to ensure projects move forward smoothly, decisions are tracked and executed, and issues are addressed early and decisively.
This role requires ownership, judgment, and the ability to problem solve and manage complexity without constant escalation.
Responsibilities
Project, Process & Production Management
Own project timelines, task tracking, and deliverables from design development through installationEstablish and maintain clear project plans, schedules, and milestonesProactively identify risks, gaps, or delays and implement solutions before issues escalateMaintain clear documentation of decisions, approvals, and next stepsEnsure internal processes and workflows are followed consistently and accurately
Construction documentation & Oversight
Coordinate and manage construction document sets in collaboration with the design teamCreate and review architectural drawings, interior drawing sets, and external documentation for alignment with design intent and project scopeTrack revisions, approvals, and construction-related correspondenceSupport construction-phase coordination with contractors and vendors to maintain momentum and clarity
Finish & Material Sourcing
Support and coordinate the sourcing and specification of finishes and materials, including stone, tile, plumbing fixtures, hardware, and architectural finishesTrack samples, approvals, pricing, and lead times in collaboration with designersMaintain organized finish schedules and sourcing documentationEnsure materials are aligned with budget, timeline, and design intent
Client Communication
Serve as a primary point of contact for private residential clientsCommunicate timelines, updates, and logistics clearly, timely, and professionallyManage expectations while maintaining a high-touch, design-forward client experiencePrepare and document meeting agendas, notes, and action items
Coordination, Procurement & Installation
Track FF&E orders, lead times, deliveries, and installationsOversee logistics, scheduling, and site coordination as requiredSupport procurement workflows, advance requests, invoicing, and installation planningLead installations physically, creatively and logistically - oversee logistics, scheduling, and site coordination as required
Documentation & Operations
Maintain rigorously organized project folders, trackers, and records on internal systemsManage budgets and financial tracking, reporting to principalSupport refinement and documentation of SOPs and workflows to improve studio efficiency
Requirements
7+ years of professional experience in interior design project management, architecture, or construction-related rolesDemonstrated experience managing high-end private residential projects with DOB in New York cityHighly organized, detail-oriented, and comfortable managing multiple projects simultaneouslyStrong written and verbal communication skills; clear, composed, and client-facingProactive, self-directed, and accountableComfortable operating in a small, high-expectation studio environmentCalm under pressure; able to manage intensity without emotional reactivitySystems-minded with strong follow-throughMust drive
